Guided workflows
Guided workflows are in-application, step-by-step instructions that direct users through a specific software process in real time, without requiring them to leave the interface or consult external documentation. For IT and L&D leaders managing complex software environments, guided workflows reduce errors, shorten onboarding timelines, and lower support ticket volume. They turn any software process into a walkthrough that employees can follow independently, on demand.
Guided workflows are structured, in-app prompts that lead a user through each action required to complete a task inside a software application. Instead of watching a training video or reading a PDF, the user receives a tooltip, highlight, or prompt directly on screen at the exact moment they need it. This just-in-time approach keeps employees productive without pulling them out of the flow of work.
The practical value becomes clearest during software rollouts, process changes, or compliance-driven procedures where errors carry real consequences. A guided workflow can enforce the correct sequence of steps, surface contextual help only when it is relevant, and collect completion data so managers can see where users struggle. That combination of support and visibility is difficult to achieve through classroom training or written job aids alone.
One barrier organizations often face is that guided workflows have historically been limited to major commercial applications. Many enterprises run custom-built, in-house web applications that third-party training tools simply cannot support. A no-code editor that lets administrators build and update guided workflows without developer involvement removes that barrier, extending step-by-step guidance to proprietary portals, internal tools, and legacy desktop applications alongside standard off-the-shelf software.
For software, IT, and L&D leaders, the administrative dimension matters as much as the end-user experience. When a process changes, someone needs to update the guidance quickly. Platforms that require coding or vendor assistance to make edits create bottlenecks and outdated content. No-code authoring gives internal teams direct control, so guided workflows stay accurate, relevant, and aligned with the way the organization actually works today.
